draft of the letter
editDear Mr. Belen:
The Philippine Wikipedia Community wishes to take part in the First Philippine Open Source Summit in Cebu this June 23-24. As you may know, Wikipedia is one of the biggest projects promoting free and open content and is the largest, fastest-growing and most popular general reference work currently available on the internet. MediaWiki is the software that underlies Wikipedia, and is a free and open source wiki software. Wikipedia is undoubtedly one of the most successful implementations of open source software.
The Philippine Wikipedia Community is a loose organization of individuals from the Philippines and abroad who coordinate in the creation and maintenance of Philippine-related Wikipedia articles. Currently, the status of the work on Philippine-related articles is such:
- 12 Wikipedias in Philippine Languages (e.g., Bikol, Cebuano, Hiligaynon, Tagalog, etc)
- 12 Articles with “Featured” status
- 28 Articles with “Good” status
- More than 5,500 Philippine-related articles
For more information, please visit the Philippine Wikipedia Community Page: http://en.wikipedia.org/wiki/Wikipedia:Tambayan_Philippines
We look forward to hearing from you—on how best we can participate in making the First Philippine Open Source Summit a success.
Sincerely, The Philippine Wikipedia Community

editHi Kahlil,
Enclosed are the details pertinent to our forthcomign Philippine Open Source Summit 2008, including the Registration Form and Sponsorship Kit.
Please feel free after going through the attached documents to suggest which area or aspect you think the Philippine Wikipedia Community could fit in be actively involved.
Needless to say, kindly forward the attached files to your community network and other affiliated organizations/individuals within your reach --- since one of the objectives of our summit is to engage in a "massive effort" to enjoin Open Source advocates, user groups, enthusiasts from across the country to converge in Cebu for the First National Meet-up of Open Source stakeholders and key players.
I look forward to you usual favorable and prompt response.
Kind regards,
BONI
My response to Boni
editHi Boni,
Thanks for this. Would there be an arrangement more appropriate for non-profits and educational institutions? Sponsorship is definitely not an option for us. Our objective is to evangelize about Wikipedia. This would be in line with the objective of the summit, since it is after all a very successful open source project--both in terms of technical infrastructure and organizational processes and culture.
Regards, Kahlil
Boni's response # 2
editKahlil,
There are two concrete ways you could participate --
As a Local Implementing Partner, wherein your organization's involvement in the Philippine Open Source Summit 2008 shall include, but not necessarily be limited to, the following
1. Promote and encourage participation among your members, collaborators and affiliates as conference delegate or
sponsor/exhibitor to the Philippine Open Source Summit 2008
2. Distribute promotional materials/brochures and/or delegate invitation (HTML, hard copy, or fax) to your members; and,
3. Form part of the panel in either the plenary session and technology breakout sessions, with cost of travel, accommodation, and
honorarium taken cared of by the Local Implementing Partner.
For its part, the Cebu Chamber CBM Foundation shall extend its support to the Local Implementing Partners, as follows
1. Acknowledge its Local Implementing Partners in all of the event's relevant promotional materials and announcements, and give
special citations or recognition for exemplary support to Philippine Open Source Summit 2008 during the program.
2. Provide the necessary secretariat and logistical support to ensure efficient coordination vis--vis the concerns of the Local
Implementing Partners; and,
3. Make available special discounts schemes for delegates or exhibitors belonging to any Local Implementing Partners in accordance
with pre-announced criteria and corresponding discount rates; and,
4. Allocate one (1) special complimentary ticket for every five (5) registered guests paying the full conference delegate fee.
In this regard, kindly inform me soonest if Philippine Wikipedia Community would want to be a Local Implementing Partner of the
summit so that we could formalize your involvement.
Also, if you have any suggestion on where you could be part of the panel in either the plenary or breakout sessions, we shall be most
willing to consider including you in the same.
Kind regards,
BONI
WP Phil Community wishes to be an Implementing Partner of the Open Source Summit
editBoni,
The Philippine Wikipedia Community is in agreement in wishing to be an implementing partner of the Philippine Open Source Summit 2008. I hope to talk this more with you this Friday. I'll confirm my trip there tomorrow or Wednesday.
In the meantime, please send me electronic posters/brochures/write-ups so I could distribute them to Wikipedia communities in other countries, particularly in our region.
Thanks, Kahlil
Confirmation
editHi Kahlil,
That's great. I have now included the Philippine Wikipedia as Local Implementing Partner in the attached document. Let's also discuss which session you would want to be part of when you come to Cebu.
Thanks,
BONI
May 22 email from Boni (get the attachements from Philwiki)
editHi Khalil,
As per our previous discussions, as one of our summit's Local Implementing Partners, please help us put together a good number of Open Source advocates and user groups from the Philippine Wikipedia network to attend the event.
By the way, as local implementing partner, thru your group we could extend substantial discounts or even "complimentary delegates tickets" to your members who might be coming from far-away in the other areas of Luzon, Visayas, and Mindanao.
In the meantime, as June 23rd draws near, please find attached our "splash reminder" for all our sponsors, Local Implementing Partners, prospective delegates, and exhibitors to "register online though our event website - www.oss.ph".
I have also furnished a copy of this email to Malyn Consul of CEDF-IT (T - 032-4127695) who will directly contact you very soon to formalize the registration and facilitate payments of Delegates Fees from Philippine Wikipedia. Please note that you could also register by filling-up the attached Registration Form and sending it to CEDF-IT by fax (Fax - 032-4127696). Nevertheless, even if you register online, Malyn will still request from you a comprehensive lists of Philippine Wikipedia Summit Delegates.
Finally, kindly feel free to request from Malyn whatever other assistance you may need in any other pertinent summit concerns (such as hotel reservation). Kind regards,
BONI
